Planning HVAC spares for a shutdown

How to build a spares list that arrives on time for a planned outage, and how to prepare for findings during inspection.

, 5 min read

HVAC work is often a small part of a large shutdown, but it can still delay the restart. A control room cannot be reoccupied without pressurisation. A switch room cannot be energised without cooling. If an HVAC part arrives late, the whole plant can wait.

Start from the work packs

Build the HVAC spares list from the planned work orders, not from last year’s list. For each work order, list the parts that will certainly be replaced, such as filters, belts, gaskets and wear parts.

Then add the parts that may be needed if inspection finds a problem. These are the items that cause most delays, because nobody ordered them.

Separate long-lead items

Some HVAC parts can take many weeks to arrive. Typical long-lead items include:

  • Compressors and compressor overhaul kits
  • Custom coils and heat exchangers
  • Ex-rated motors and duct heaters
  • Fire and blast dampers
  • Controllers for older systems

Order these first. If the scope is not final, agree an early order for the items most likely to be needed.

Decide on contingency spares

For each critical system, ask what failure during inspection would stop the restart. Then decide whether to hold that part on site. A spare that is not used can often be returned to stock or kept as an operating spare. A spare that is missing costs days.

Kit by work order

Ask for parts to be packed and labelled by work order. Crews then receive one kit per job instead of searching through mixed pallets in the laydown yard.

Track every line weekly

From order to delivery, track every line every week. When a lead time changes, you need to know early enough to choose another source.

We provide weekly expediting reports and kit parts by work order for shutdown customers. Send us your shutdown scope to start planning.

Send us a part number. We send you a quote.

Add as many lines as you need, with photos or drawings. We aim to reply within one business day.
